For employers
How much does Employee Support cost?
The standard subscription is $6 per eligible employee per month, with a minimum monthly service fee of $150. There is also a one-off $495 establishment fee.
The standard agreement runs for 12 months.
What does the $495 establishment fee cover?
The one-off establishment fee covers organisation setup, service configuration, employee access, billing and reporting setup, contract administration and employee communication materials. It is non-refundable.
How many psychology consultations are included?
The organisation receives approximately one included 60-minute psychology consultation for every five eligible employees, with a minimum of five included consultations per 12-month service period.
The included allowance is shared across the organisation. Each eligible employee can access up to six consultations in the 12-month service period.
What happens when the included consultation allowance is used?
Employees can continue to access the service where appropriate. Only consultations that occur after the organisation-specific included allowance has been exhausted are classified as additional and billed at $180 each.
At month-end, the system groups that organisation’s additional consultations for the completed month and Stripe automatically sends one invoice to the nominated billing contact. The invoice shows the number of additional consultations and the total amount, but does not identify employees.
Can an employee attend weekly for a period of time?
Yes. Appointment frequency is based on clinical need and availability, not on a requirement to spread appointments evenly across the year. An employee can therefore use several consultations close together if appropriate.
Does the employer know which employees have used the service?
No. The employer funds the service, but the employee receiving psychological care is the client. Zoom Psychology does not routinely tell the employer whether a particular employee has booked or attended, and does not provide diagnoses, clinical notes, treatment information or appointment content.
What reporting does the employer receive?
Employers may receive privacy-safe aggregate and administrative reporting about the service they fund, such as overall utilisation, remaining included consultations, manager-support use and relevant additional billing. Reporting is limited where information could reasonably identify an individual employee.
How does registration work?
Standard organisations can register online without waiting for manual approval. The authorised representative enters the organisation details, reviews the organisation-specific pricing and Service Agreement, confirms authority to bind the organisation, accepts the agreement electronically and continues to secure Stripe payment setup.
After successful payment setup, the service activates automatically.
How are payment details handled?
Payment details are collected and stored securely by Stripe. Zoom Psychology does not store card details in WordPress. The first checkout shows the $495 establishment fee and the first monthly subscription as separate line items, even though they may be collected in one transaction.
If the included consultation allowance is exceeded, Stripe also sends the nominated billing contact a monthly invoice for the additional consultations used during the completed month.
Who receives invoices for additional consultations?
The organisation nominates a billing contact and billing email. Monthly invoices for additional consultations are sent automatically by Stripe to that person. If no separate billing contact has been provided, the organisation’s primary contact is used.
Zoom Psychology retains an invoice history showing the invoice period, amount, billing destination, Stripe invoice reference, send confirmation and payment status.
What happens if a recurring payment fails?
The account enters a payment-overdue state and a 14-day grace period applies while payment is retried and the issue can be resolved. Employee access can continue during that grace period. If payment remains unresolved, the organisation may be suspended.
Can the organisation cancel early?
Yes. The standard agreement is for 12 months, but an organisation may end the service early by giving 30 days notice and paying an early cancellation fee equal to 50% of the remaining monthly subscription value for the current term.
The establishment fee and subscription fees already paid are non-refundable.
Does cancelling Stripe cancel the contract?
No. Stripe is the payment mechanism. Cancelling or interrupting a Stripe subscription does not itself end the underlying Service Agreement. Formal cancellation is handled under the contract terms.
Does the agreement renew automatically?
Yes. The initial 12-month agreement automatically renews for further 12-month periods unless the employer gives notice not to renew. Zoom Psychology sends renewal reminders approximately 60 and 30 days before the renewal date.
What happens to pricing when employee numbers change?
Pricing and the annual included consultation allowance are based on the organisation's eligible employee headcount. The employer is expected to provide an accurate headcount and confirm or update it before renewal so the next contract period can be calculated correctly.
Do we receive a copy of the Service Agreement?
Yes. The authorised employer representative accepts the agreement electronically during onboarding. After successful activation, Zoom Psychology generates an executed PDF showing the organisation-specific terms, electronic acceptance details and Zoom Psychology service activation. A copy is emailed to the employer and retained in the Employee Support contract record.
What does Employee Support not include?
Employee Support is not a 24-hour crisis or emergency service. It does not include psychiatric assessment, fitness-for-work opinions, independent medical examinations, workplace investigations, mediation, drug and alcohol testing, workers compensation reporting or medico-legal reporting unless separately agreed.
For employees
Will my employer know that I booked an appointment?
Zoom Psychology does not routinely tell your employer that you have booked or attended an appointment. Your use of the service is confidential, subject to the usual professional, legal and safety limits that apply to psychological care.
What information is shared with my employer?
Your employer may receive limited aggregate or administrative information about the service overall. Your clinical notes, diagnosis, treatment information, appointment content and individual psychological recommendations are not routinely shared with your employer.
Do I have to pay for appointments?
No consultation fee is payable by the employee for appointments funded through an active Employee Support arrangement.
How many consultations can I use?
An eligible employee can access up to six consultations in a 12-month service period. The organisation also has a shared annual included consultation allowance. If that shared allowance has been used, the employer can be billed for additional consultations rather than requiring the employee to pay.
Can I use the sessions weekly?
Yes, if weekly appointments are clinically appropriate and appointment availability allows it. Sessions do not have to be spread evenly across the year.
Can I talk about personal issues, or only work problems?
You can seek support for work-related or personal difficulties. You do not need to show that the issue was caused by work before using the service.
What happens if I leave the organisation?
Employer-funded eligibility normally ends when you are no longer covered by the organisation's Employee Support service. If you are already engaged in psychological care, Zoom Psychology can discuss private or other appropriate continuation options with you confidentially.
What happens if my employer ends Employee Support while I am seeing the psychologist?
Employer-funded access ends according to the organisation's contract end date. If you are already engaged in care, Zoom Psychology can discuss options for continuing privately or through another appropriate funding pathway. Your treatment status is not disclosed to the employer simply because the contract is ending.
Is Employee Support an emergency service?
No. Employee Support is not a 24-hour crisis or emergency service. If you need urgent or emergency assistance, use the appropriate emergency or crisis service for your location.
